How to Use These Kits

Each kit in this guide gives your team everything needed to communicate a major chapter event from start to finish — before, during, and after. Pull up the right kit 4–6 weeks before your event and work through it step by step.

What's in Every Kit

Who Does What
  • Natalie — approves all content before it goes out
  • Cheri — tracks deadlines and coordinates chairs
  • Carey — designs graphics, schedules social posts
  • Amy / Kandyce — write captions, press content
  • Maria — updates NCL app calendar, sends reminders
  • Event Chair — provides event details and approves comms
  • TT Chairs — may submit class-specific content for review
Start 4–6 weeks out. The timeline in each kit tells you exactly when to do what. The most common mistake is starting too late — communications that go out at the last minute feel rushed and miss members who plan ahead.
✏️ Templates are starting points, not scripts. Customize every caption and email for the specific event. Add real details when you have them. Remove any placeholder text before sending. Content that feels personal gets more engagement than copy that feels generic.
🔒 Safety rules apply to every event, every time. No full names, no advance locations, no specific times on public posts. Member-facing communications (email and NCL app) may include more detail — public social posts must follow all 7 safety rules without exception.
📁 Save everything to Google Drive. All drafts go to 2026 Review Queue → Event Kits & Announcements. After approval, Natalie moves content to 2027 Templates Approved. Post-event recaps and photo captions go to the same Event Kits folder.
